How to Check in Participants for In-Person Visit.org Events

In-person event check in process:

Our On-site Event Coordinators make the process of employee check in easy. There are two ways that volunteers can check in for in-person Visit.org experiences to ensure accurate, real-time participant data capture.

For participants who pre-register (Visit.org recommended):

  1. Before the event, employees complete the registration form and waivers on the Visit.org platform.

  2. After completing registration, employees receive a QR ticket via email.

  3. On the day of the event, employees show their QR ticket to Visit.org staff to check-in.

  4. Visit.org staff will scan the QR code on the ticket, to check each person in for the event.

*In the event an employee can’t locate their QR ticket, they can provide their first and last name to the event staff, who will check them in.

For participants who did not pre-register:

  1. Employees scan the Visit.org event QR code when they arrive for the event.

  2. The QR code takes them to the event registration page on their mobile device, where they complete the registration process and agree to any required waivers.

  3. After successful registration, participants are automatically checked in to the event within the Visit.org platform.


How to check-in your participants:

For employees who pre-register:

  1. Select the event on the Visit.org platform.

  2. Access the “Event Dashboard” from the right menu.

  3. In the Event Dashboard, click the number of participants.

  4. Search using the employee’s name or email address.

  5. Select “...” > “Edit Participant” > ”Mark as attended”

*If an employee was unable to pre-register, you can easily add them by clicking “Add Participant” while viewing the Registrants list. Enter their name, email address, and select “mark as attended”.
